Members
Understand when enrolled employees can access elba, which notification channels are available, and how reminders are controlled.
Synced users and enrolled members
Connecting an identity provider synchronizes employee records into elba. Synchronization alone does not enroll every employee in the member experience.
An enrolled member can access the member portal and receive supported employee security actions. Use Settings → Team → Users to review whether each person is Enrolled or Not enrolled. See User management for enrollment instructions.
When members are contacted
elba contacts an enrolled member when there is relevant work or an invitation to deliver. Depending on the modules and playbooks in your organization, this can include:
- An invitation to the member experience
- Assigned security-awareness training
- A security issue that requires the employee's action
- A reminder about pending work
- A browser-extension enrollment reminder
Enrollment does not by itself create a notification when no action is available.
Reminder timing is controlled by your organization's Communication Preferences. The available employee reminder cadences are twice a week, weekly, every other week, or monthly. Reminder days are not fixed; elba schedules delivery using the selected cadence and the organization's configured working hours.
Notification channels
Your organization can use:
- Slack
- Microsoft Teams
- Google Chat
Slack, Microsoft Teams, and Google Chat must be connected before they can be selected. When elba cannot match a member to the selected chat integration, delivery falls back to email.
Where per-user channel preferences are enabled, an admin can set a member's channel from Settings → Team → Users, and the member can choose among available channels from their user menu. The organization default applies when no personal preference is set.

Send a manual invitation reminder
From Settings → Team → Users:
- Find an enrolled member who has not joined the member portal.
- Open the row actions.
- Select Send reminder.
This action sends an invitation reminder by email. It is only available when the member experience is active for the organization.
Training reminders are managed from training reporting or the Security leaderboard and follow the supported delivery logic for that workflow.
Check a member's status
The Users table distinguishes:
- Not enrolled: synchronized but not enrolled in the member experience
- Waiting for module activation: enrolled, but the organization has no member-facing module or action available yet
- No activity: enrolled and able to use the member experience, but no login has been recorded
- A join date: the member has logged in
Troubleshooting
A member receives email instead of chat
Confirm that the chat integration is connected and healthy, and that the employee's email matches an active account in that chat workspace.
A member receives no invitation
Confirm that the employee is enrolled, Communication Preferences are saved, and at least one member-facing action is available.
A member should no longer receive actions
Unenroll the employee under Settings → Team → Users. If enrollment is controlled through groups, also review their membership in enrolled groups.
